Salary – 10-15K SAR /monthEssential skills:Excellent English written and oral skillsExcellent customer service skills and ability to build relationshipsGood attention to detail and organisational skillsProactive approach to workloadAbility to work in a process-driven environmentThe ability to summarise complex informationBi-lingual – with the ability to speak, read and write ArabicExperience in HR / Government ServicesKnowledge of Saudi Labor LawKey responsibilities:Customer service activitiesActing as a point of contact for Back Office Service clients by answering questions and queries on time, including processing incoming e-mail, mail and phone callsEnsuring that all clients receive a clear outline, plan and timeline of service activities, including relevant dependencies such as required documentation, potential complications and minimal application requirementsEnsuring clients are kept up to date with the status of their requests, including complications with activities along with possible resolutions]Administration activitiesPrioritising and undertaking all administrative tasks in line with client requestsSupporting in drafting professional correspondence such as contracts, agreements, letters, and other documents as the Business Unit Head advises.Maintaining up-to-date records on client task requests, activities undertaken and upcoming renewalsAccessing and data entry onto government portalsClient-facing activitiesSupporting the Head of Back Office Services to ensure key activities are completed to desired quality standards and to the timescales laid out in proposals and other client-facing documentationTaking minute meeting notes and action pointsProviding progress updates when requiredBack Office ServicesRenewing of all appropriate licences and registration, including but not limited to; MISA, CoC, Commercial Registration, Municipality License and WaselManaging critical government portals, including but not limited to; HRSDF, GOSI, Muqeem and QiwaIssuing of employee-related documentation, including but not limited to; LOIs, LOIntros, ERE Visas, Iqama cards, Residency Permits and Business Visit VisasOverseeing the attestation of critical company and employee letters and documentationCollaborative workingAttending and actively participating in team and project management meetings where requiredSupporting HR in preparing, process, and submitting LOIs, Iqamas, visit visas, ERE visas and other legal documents to government departmentsSupporting finance in preparing financial documentation such as invoices and credit notes, reconciling accounts, and chasing overdue invoicesWorking in partnership with other Business Units and, where appropriate, making referral internals to other company services and productsSenior activitiesSupporting the Head of Back Office Services in preparing the relevant activity reports for the Senior Management and Executive CommitteeSupporting the Head of Back Office Services in coaching, mentoring and training junior members of the BBack Office TeamDelivering KAM responsibilities on the most critical Back Office Service accountsDeputising for the Business Unit Head in times of needActing as a point of contact in all matters relating to client concerns and needs
