We’re seeking for an experience executive assistant who will be helping the organisation and running the daily activities in the office. The role is to support the office operations and responsibilities include managing the schedules, communicating with our suppliers, arranging meetings, follow-up on tasks, communications through phone and email and have an overview of the managers to do’s and assist where needed. The office assistant is also responsible for secretarial and admin tasks to ensure a good workflow in the office.Responsibilities- Manage professional and personal schedules of managers, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.- Manage the company driver’s schedule- Acting as a point of contact.- Manage information flow in a timely and accurate manner.- Rack daily expenses and prepare weekly, monthly or quarterly reports.- Oversee the performance of other clerical staff.- Act as an office manager by keeping up with office supply inventory.- Format information for internal and external communication – memos, emails, presentations, reports.- Take minutes during meetings.- Screen and direct phone calls and distribute correspondence.- Organize and maintain the office filing system.- Communication with company suppliers.- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.- Organize team communications and plan events, both internally and offsite.- Manage the reception and guest area, great visitors and ensure the office is always organized.- Tasks related to the HR department.- Tasks related to accounts.- Other tasks assigned by executives.Qualifications and skills- 4+ years’ experience as an executive assistant, personal assistant, business executive or other similar roles- Bachelor in Business Administration or similar degree- Outstanding organizational and time management skills- Proficiency in Microsoft Office and other office productivity tools, with attitude to learn new software and systems- Excellent verbal and written communications skills- Discretion and confidentiality- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
