Position: Executive Assistant

Target candidate: Saudi 
Location: Jeddah
Salary package: 6-8K

We are looking for an Executive Assistant to provide support to our company’s C-level.
To be successful in this role, you should be well-organized, have great time management skills, have good leadership skills, and be able to act without guidance.
Ultimately, you will contribute to our company's efficiency by providing personalized and timely support to executive members.

Responsibilities

Act as the point of contact between executives & Departments heads,
Manage information flow in a timely and accurate manner.
Manage executives’ calendars and Schedule meetings, and the meeting preparation and distribution of minutes of meetings and follow up the tasks that come out of the meetings to ensure they are completed on time. And prioritizing the most sensitive matters.
Make travel arrangements.
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
Welcoming the C-level visitors and identifying the purpose of their visit before directing them to the C-level members
Complete various special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
Providing weekly, and monthly reports for the C-level in PM activities and processes including project planning, prioritization, initiation, and completion.
Assist the C-level in setting up the departments’ KPIs, and provide a department’s KPIs weekly report.
Lead the project of setting the company work processes/flow and ensuring they are completed for all departments.
Determine priority of matters of attention for the C-level; redirect matters to staff to handle, or handle matters personally, as appropriate.
Keep the C-level advised of time-sensitive and priority issues, ensuring appropriate follow-up.
Routinely perform a wide variety of support duties.
Organize and maintain the C-level documents/records.
Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

Requirements and skills

Work experience as an Executive Assistant, Personal Assistant, Office manager or similar role
Excellent MS Office knowledge
Outstanding organizational, time management, and projects management skills
Advanced skills: communication, leadership, multi-Tasking, and problems solving.
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
Fluent in Arabic/English language: writing, reading & communication.
Diploma or higher education

Having a certificate in PM gives an advantage.

Energetic and eager to tackle new projects and ideas.
