As Front Office Associate, the role holder shall report to the Management, and will be responsible for coordinating and attending to incoming and outgoing calls, directing calls to the appropriate person, mail distribution, and providing additionalclerical support. As Front Office Associate, you shall be the first point of contact for the entire organization, which requires a positive attitude and polished, professional appearance. This position will multi-task a variety of front office activities. In addition, the role holder shall also coordinate and fulfill the administrative duties of the office.Accountabilities:1. Welcoming on-site guests, determining the nature of business, and announcing guests to appropriate personnel.2. Answering incoming telephone calls, determining the purpose of callers, and forwarding calls to appropriate personnel or department.3. Taking and delivering messages or transferring calls to voicemail when appropriate personnel is unavailable.4. Scheduling conference rooms.5. Assist administrative assistants with clerical duties including faxing, copying, and organizing/maintaining files.6. Answering questions about the organization and providing callers with addresses, directions, and other information requested.7. Receives, sorts and distributes mail.8. Support administrative and special project requirements, as assigned.9. Coordinate office activities and operations to secure efficiency and compliance with company policy10. Track stocks of office supplies and place orders when necessaryKnowledge and Skills:•Polished professional with an outgoing attitude, a team player, and love to make the guests feel comfortable. •Excellent typing skills (word processing; 50-60 wpm), high level of proficiency with general office PC applications (i.e. MS Word, MS Excel, MS Access, MS PowerPoint). •Demonstrated excellent organizational, coordinating, and personal interface skills. •Commitment to work overtime on occasion. •Comfort and experience interfacing with various levels of staff and management, while working in a fast-paced environment.•Demonstrate excellent written and verbal communication skills, including theability to successfully communicate with the public, other employees andvendors.Education and Experience: Bachelor’s degree & 5 years UAE experience in similar role.NOTE: Calls will not be entertained and only shortlisted candidates will be contacted via email for the interview.
