Responsibilities and Accountabilities:• Maintaining the executive’s agenda and assisting in planning appointments, board meetings, conferences etc.• Handle and prioritize all outgoing or incoming correspondence (Email, Letters, etc.)• Greet visitors and callers, handle their inquiries, and direct them to appropriate persons according to their needs.• Answer phone calls and emails and take messages.• Compose type and distribute meetings notes, routine correspondence, and reports.• Creating and organizing information, and generating reference tools for easy use.• Set up and maintain paper and electronic filing systems for records, correspondence, and other materials.• Establish work procedures and schedules and keep track of the daily work• Operate electronic mail systems and coordinate the flow of information both internally and with other organizations.• Compiling, proofreading, and revising drafts of documents and reports.• Conduct research, prepare presentations, reports, and correspondence accurately and swiftly• Handle confidential documents ensuring they remain secure.• Managing a busy calendar and travel arrangements.• Plan travel, including flights, accommodation, and ground transportation• Coordinate events and speaking engagementsPosition Requirements – Education, Experience & Competencies:• Must have 4 years of experience in the same role• Should have a bachelor’s degree in Business Administration or a related field is mandatory• Ability to work under pressure and meet deadlines.• Familiarity with basic research methods and reporting techniques• Excellent skills in using the Microsoft Office Suite• Tech-savvy and experienced with word processing and email programs• Active listening and good communication skills• Proactive approach to problem-solving• Strong time-management and organization skills• Strong interpersonal skills• Ability to multitask
