Job DescriptionPosition Over View:Performs diverse secretarial and administrative support activities, many of which are highly confidential or sensitive in nature, for an officer, Department Manager, or Vice President.Exercises a significant amount of discretion and judgment in the planning and performance of most of the duties and functions.Excellent communication and organizational skills are required as well as computer literacy.An opportunity to actually work with this level of Manager is a prerequisite for promotion to this positionSpecific ResponsibilitiesReceives and screens visitors, phone calls, and mail. Responds to inquiries by using initiative and tact. Prioritizes response to incoming calls and to contacts from both inside and outside the Company.Prepares correspondence and reports; records and transcribes dictation from shorthand or tape, much of which is confidential in nature. Most assignments require the use of a personal computer and software typically used in general business. Composes non-routine correspondence from brief notes or verbal instructions and composes replies to routine correspondence on own initiative. Proofreads all correspondence for spelling and grammar so that final correspondence is signature-ready for the executive.Schedules meetings, conferences, and appointments; establishes and maintains calendar of events and keeps executive informed of commitments. Makes travel arrangements, coordinating airline and auto rental reservations, hotel accommodations, Travel Authorization paperwork, and Expense Reports.Prepares meeting agenda, reports, files, and other materials for meetings. May generate presentation graphs or charts using various graphics software.Maintains confidential files and telephone contact information in hard copy and electronic format as appropriate.Directs other clerical staff, delegating work to them and following up to ensure timely and accurate completion. Establishes general guidelines for their use of software, letter and memo styles, and typical office procedures. Performs additional duties as assigned.Preferred Education /ExperienceRequires an BA degree (or 3 to 5 years of office experience) and a minimum of 7 years of related experience. Typically, incumbents have 8 to 12 years of related experience. Excellent communication skills, tact, and diplomacy are required and a professional “front office” demeanor at all times.
